DePaul University has committed to building a forward-thinking, transparent, and compliant approach to NIL and revenue sharing. This work is led jointly by Brett Sible, Associate AD for NIL Strategy and Innovation, who oversees all aspects of the university’s NIL program, and Taylor Stapleton, Associate Vice President & Deputy Athletics Director, who supports the operational, financial, and administrative infrastructure behind DePaul’s athlete compensation strategy.

With new compensation models emerging, insurance requirements expanding, and a need for cross-campus collaboration, DePaul needed a solution that could centralize processes, strengthen financial control, and create a seamless experience for student-athletes and staff. They turned to Teamworks General Manager (GM) and Teamworks Wallet to accomplish exactly that.

The Challenge: Too Many Spreadsheets, Too Much Risk, and a Need for Institutional Alignment

As DePaul prepared to implement revenue sharing across multiple sports, the university faced increasing operational complexity.

Brett explained that achieving alignment across stakeholders was a major hurdle:

I think the biggest challenge we faced at DePaul was institutional alignment around NIL and revenue sharing, making sure that everyone had access to the information that they need, whether it be from compliance or financial or risk management across the university.

At the same time, the existing processes, built around spreadsheets, notes, and dispersed communication, were not sustainable. Taylor described an environment where information lived in too many disconnected places:

“We were juggling spreadsheets in too many places with limited security and no true source of truth. On top of that, important notes from calls, meetings, and text messages were scattered across inboxes rather than captured in a centralized system. It made a critical process harder than it needed to be and created unnecessary risk.”

The university needed a system that could:

  • Track compensation consistently
  • Maintain financial and compliance controls
  • Ensure secure, accurate, and timely payments
  • Reduce risk and improve documentation
  • Bring cohesion across the three teams participating in revenue sharing

Even after designing a process, DePaul needed confidence that it could implement and leverage it efficiently.

Why DePaul Chose Teamworks GM & Wallet

When evaluating solutions, Taylor emphasized that Teamworks was already deeply embedded into daily life within the athletic department.

“Across DePaul Athletics, Teamworks already powers so much of what we do day to day. We rely on it for communication, calendars, compliance, nutrition, sports medicine and performance technology, and inventory management. Our coaches and staff trust the platform. Bringing this manual and time-consuming workflow into a system that already supports so many of our operations was the natural next step.”

The familiarity, trust, and extensibility of Teamworks made GM and Wallet a clear choice.

The Solution: Centralizing Workflows, Payments, and Controls Across Campus

DePaul implemented Teamworks GM and Wallet as the operational foundation for its revenue-sharing program. The rollout, Brett shared, was seamless and collaborative.

Rolling out Teamworks GM and Wallet at DePaul was a pretty smooth process. We got everyone onboarded, let them know what Teamworks was capable of and Teamworks even asked for our feedback on what we can improve… So it’s been a collaborative partnership with Teamworks.

Strategic Budgeting & Transparent Workflows

Before Teamworks GM, managing revenue share required constant back-and-forth communication, manual updates, and cross-checking between departments. Now, DePaul has a unified operating system that brings structure to the full compensation workflow and ensures every stakeholder is working from the same source of truth.

Teamworks GM strengthened accountability and provided the transparency needed across Athletics, Compliance, Finance, Risk Management, and campus leadership. Brett notes:

“GM has really improved the collaboration between DePaul Athletics and all of our stakeholders, giving them access and transparency to all the information that they need to maintain our budget and financial control as well as NCAA compliance.”

What had once required separate spreadsheets, emails, and manual approvals now lives in a streamlined, trackable set of workflows. For Taylor, the shift has elevated not just efficiency but confidence in the accuracy and reliability of the process:

“GM/Wallet has elevated our collaboration, visibility, and overall efficiency. Whether we’re on campus or traveling for events, we can enter, approve, and distribute payments without missing a beat. It provides the financial controls, checks and balances, and documentation we need, while speeding up and improving the reliability of the entire workflow. It has added structure without slowing anything down.”

Together, GM and Wallet have replaced fragmented tools with a centralized, compliant system that supports faster decision-making and strengthens financial oversight across the department.

Integrated Payments Through Wallet

As DePaul scaled its revenue-sharing model, ensuring athletes were paid accurately and on time became a top priority. Teamworks Wallet transformed what had been a manual and time-intensive process into a smooth, predictable experience for both staff and student-athletes. By housing payments within the same system that manages budgets and contracts, the university gained a level of reliability and control that had not been possible with spreadsheets and manual workflows.

Brett noted how critical this connection has been:

The biggest benefit of managing payments in the same system as our budgets and contracts is that we know every payment is going to be accurate and made on time.

Student-athletes quickly adapted to the new system and appreciated how straightforward it made receiving and transferring their money:

Our student athletes at DePaul really like the way that Teamworks Wallet operates, how easy it is for them to receive their money, and transfer their money where it needs to be.

Families also valued Wallet’s built-in tax reserve, which helped students avoid unexpected financial burdens:

One thing athletes and their families have liked is the tax reserve account that comes in Teamwork’s Wallet… [where they can] set aside some money for their taxes.

Together, these features create a payment experience that is fast, transparent, and dependable—supporting both operational accuracy for staff and financial confidence for athletes.

Simplifying Insurance & Other Compensation Variables

As NIL and revenue-sharing evolve, the number of compensation components schools must manage continues to grow. DePaul needed a simple way to administer not only payments but also insurance policies and other benefits tied to student-athlete support.

Teamworks Wallet implementing their partnership with Players Health is going to streamline this process of obtaining insurance policies, tracking on budgets, taxes, fees… making sure that we’re staying within our budget and executing those policies when needed.

By centralizing compensation, insurance, and financial oversight, DePaul has reduced complexity and created a more reliable, scalable framework for supporting its athletes.

Results: Efficiency, Alignment, and a Better Experience for Athletes and Staff

With GM and Wallet in place, DePaul operates a more efficient, transparent, and aligned NIL program.

The most valuable thing that GM allows our staff to do is create alignment throughout the university, not just within the athletic department… it also maintains the financial control that our risk management team was seeking.

For Brett, who manages the system largely as a one-person team:

As a one-person team here at DePaul, Teamworks Wallet and GM have really made this process a lot more efficient for me, which opens up a lot more of my time to focus on other things.

Exceptional Support & a Future-Proof Partnership

Both leaders emphasized the partnership approach Teamworks brought to implementation.

From Brett:

Teamworks staff has been there to answer any questions we have, guide us through how to use the software and let us know what features we’re not utilizing to maximize the value add that Teamwork’s GM and Wallet provide to the university.

From Taylor:

“We’ve been fortunate to work with an incredibly responsive and innovative Teamworks staff. They took the initial concept and turned it into a powerful, scalable system. Their approach gives us confidence that, as the landscape continues to evolve, they’ll be ready with solutions that meet our needs and those of our student-athletes.”

A System DePaul Strongly Recommends

Brett’s advice for other schools is straightforward:

For other schools looking to use Teamworks Wallet and GM. I would recommend it very highly… the software itself really is a game changer for us here at DePaul. It really makes it a more efficient program.

Taylor echoes that confidence:

“It’s an easy decision. Leave the spreadsheets behind and move into a system designed for the realities of today’s revenue-sharing and NIL environment… You shouldn’t spend extra energy managing the process when a purpose-built solution already exists.”

DePaul University set out to build a modern, compliant, and streamlined approach to NIL and revenue sharing across multiple sports. With Teamworks GM and Wallet, the university achieved stronger institutional alignment, clearer financial controls, and a dramatically improved experience for both staff and student-athletes.

The partnership has enabled DePaul to innovate confidently in a shifting landscape, empowered by efficient workflows and a deeply collaborative relationship with Teamworks.
